Privacy Policy

The short version

  • We collect your account and profile details, the calendars and meeting tools you connect, usage and log data, and payment information.
  • We use it to run your scheduling, keep your calendars in sync, create meeting links, bill you accurately, support you, and keep the service secure.
  • We connect to the tools you choose (Google, Microsoft, Zoom) using the minimum access needed — and only to provide the features you turn on.
  • We share data only with the providers that help us operate — never with data brokers — and we don't sell your personal information.
  • You can access, export, correct, or delete your information anytime.

1. Scope of this policy

This policy explains what we collect, why, and the choices you have when you visit calen360.com, create a Calen360 account, or use the product. It applies to personal information we control as a business.

When you connect a calendar or meeting tool, we also process your scheduling data — your availability, events, and the bookings your clients make — on your behalf and under your instructions, to run your scheduling.

2. Information we collect

Information you provide

When you create an account or contact us, we collect your name, email address, profile details, and billing contact information. If you submit a form on our site, we receive what you enter.

Connected accounts

When you connect a calendar or meeting tool — such as Google or Microsoft (Outlook) calendars, or Zoom, Google Meet, and Microsoft Teams — that provider shares the access we need to read your availability, create events, and place the right meeting link. See Connected accounts.

Booking information

When someone books time with you, we process the details they submit — such as name, email, and any answers to your booking questions — so the meeting can be scheduled and added to your calendar.

Information we collect automatically

As you use the site and product we collect usage and device data — pages viewed, actions taken, IP address, browser, and log data — through cookies and analytics tools. See Cookies & analytics.

3. How we use your information

We use the information above to:

  • run your booking pages and schedule meetings;
  • keep your connected calendars in sync and create the right meeting links;
  • provide, operate, and improve the product;
  • bill you accurately and prevent payment fraud;
  • respond to support requests and send service and account notices;
  • keep the service secure and investigate abuse; and
  • send product updates you’ve opted in to (you can unsubscribe anytime).

4. Connected accounts

Calen360 works across the tools you already use. When you connect an account, we request only the access needed to deliver the feature:

  • Calendars (Google, Microsoft/Outlook) — to read your availability, create and update events, and attach the right meeting link.
  • Meeting tools (Zoom, Google Meet, Microsoft Teams) — to generate the meeting link for each booking.

You can disconnect any account at any time from your settings, which revokes our access going forward and deletes the data we hold from that account, except where we must retain it to meet a legal obligation. We use data from connected accounts only to provide Calen360 to you — never for advertising.

Google user data

When you connect a Google account, we access your Google Calendar data — your events and free/busy availability — and basic profile details (name, email, profile photo), to schedule meetings, create and update events, and place the right meeting link. We use Google user data only to provide and improve these user-facing features; we do not sell it, use it for advertising, or use it to train AI or machine-learning models, and humans do not read it except as you direct, for security, to comply with the law, or in aggregated and anonymized form.

Calen360’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Zoom data

When you connect Zoom, we access your basic profile and meeting details to create the meeting link for each booking. We use Zoom data solely to provide that feature. When you disconnect Zoom or uninstall the app, we revoke access and delete the Zoom data we hold, and we honor Zoom’s deauthorization and data-compliance process.

5. Cookies & analytics

We use essential cookies to keep you signed in and the site working, and product analytics — including Mixpanel — to understand how features are used so we can improve them.

You can block or delete cookies in your browser settings and opt out of analytics there. Essential cookies can’t be turned off without breaking core functionality.

6. How we share your information

We share information only as needed to run Calen360:

  • Service providers that operate the product on our behalf — payments (Stripe), transactional email (SendGrid), and product analytics (Mixpanel). They may use the data only to provide their service to us.
  • Tools you connect — when you link a calendar or meeting service, data flows to and from that provider to deliver the feature you asked for.
  • Legal and safety — when required by law, or to protect the rights, safety, and security of Calen360, our customers, or the public.
  • Business transfers — if Calen360 is involved in a merger, acquisition, or asset sale, with notice to you.

We do not sell your personal information, and we don’t share it with data brokers.

7. Payments

Paid plans are processed by Stripe. We don’t store full card numbers — Stripe handles card data under PCI-DSS standards and shares only what we need to manage your subscription (such as the card brand, last four digits, and billing status).

8. Data retention

We keep personal information for as long as your account is active or as needed to provide the service, then delete or anonymize it within a reasonable period — except where we must keep it longer to meet legal, tax, accounting, or security obligations. You can ask us to delete your account and associated data at any time (see Your privacy rights).

9. Security

We protect your information with encryption in transit and at rest, access controls, and least-privilege access to your data. No system is perfectly secure, but we work to keep your data safe and will notify you of a breach affecting your personal information as required by law.

10. International data transfers

Calen360 is based in the United States, and we process information there. If you access the service from outside the U.S., your information is transferred to and processed in the U.S. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for these transfers.

11. Your privacy rights & choices

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise any of these, email [email protected] — we’ll verify your request and respond within the time the law allows.

U.S. state privacy rights

If you’re a U.S. resident in a state with a privacy law (such as California), you have the right to know what we collect, to access and delete it, to correct it, and to opt out of the “sale” or “sharing” of personal information. We don’t sell your personal information, and we won’t discriminate against you for exercising a right.

EEA & UK rights

If you’re in the EEA or UK, you have rights of access, rectification, erasure, portability, and objection under the GDPR, and you may lodge a complaint with your local supervisory authority. We process your data to provide the service (contract), for our legitimate interests in operating and securing it, and with your consent where required.

12. Children

Calen360 is built for professionals and isn’t directed to children under 18, and we don’t knowingly collect their information. If you believe a child has given us personal information, contact us and we’ll delete it.

13. Changes to this policy

We may update this policy as the product and the law evolve. When we make material changes, we’ll update the effective date above and, where appropriate, notify you by email or in the product before the change takes effect.
